Re:  Communication

This is a very important and detailed memo.  Please read it carefully.

One of the biggest concerns that was registered after the Hartford Conference was that teachers had been left out of the loop regarding honor choir information.  Because of that, and because of a tight budget, we decided this year to handle all communication directly to teachers via email.  It is then the responsibility of the teachers to inform their students of important information regarding the honor choir event. 

We are currently using Constant Contact, a commercial emailing service, to send email to teachers.  Constant Contact will not allow attachments so we are having to put them on this website and direct teachers and students to the website to download these attachments.  One thing that Constant Contact does very well, however, is that it keeps track of who opens email.  To date, we have about 50% of our messages being opened by teachers which means that  half of our group is not receiving important information. 

In order to correct this, we are asking the following:

  • If you receive an email from Stuart Younse, please open it immediately and share the information with your students.  Most email will come from each choir coordinator but it will always come under my name so that you know to open it.
  • We will have a section called Important Communications on the ACDA Eastern website under the Honor Choir section.  There will be a section for all choirs, and a section for each specific choir. Every email or attachment that goes out will be copied on these pages so that teachers, students, and parents can periodically check the site to insure that they have received the information.  Please check the site regularly and give your students the URL so that they can check it directly, as well (www.acdaeast.org).
  • Please periodically check your spam folder as our ACDA email may get dumped into this folder especially if  your school system has a filter system in place on your email system;
  • Everything that is sent via email and posted on the website will also be posted on the Facebook wall for each choir.  This is a third check in the system to insure that information is being received.  The facebook pages for choirs are currently being created.

This is the last US Postal mailing you will receive because of the expense of mailing.  All future information will come by email.  Please, please insure that you are reading your emails, sharing information with students, and giving them the URL’s to access the information directly.  We are trying diligently to make communication quick, easy to find, and user friendly.  However, this is a new system for disseminating information and anything new can have its problems.

The information coming to you is critical for the success of the honor choirs. Please help us help you stay aware and alert.  If you would like to know which email address we are using for you, email me at younsectacda@yahoo.com and I will send the address to you.

Sponsor's Name and Cell Phone Number are needed at Registration

To the HS Women, Men and Jazz  Choirs-

You will need to provide your official  ACDA sponsor's name and cell phone number  when you register.  If you do not know this, please make sure you get it before you arrive in PA.  Also, if your official sponsor is not your teacher (another teacher may be a proxy for your teacher), you will need the name and number of the sponsor who will be in Philly during the conference so that we can contact them in an emergency.  If your parents are staying in Philly, you might also want to give their name and cell phone as an emergency number, as well.
